Description

You are the operational engine and administrative backbone that keeps our People & HR department running smoothly. As a core member of the team, you focus deeply on the employee lifecycle and administrative excellence—ensuring that from the moment a new hire signs their offer, the behind-the-scenes systems, documentation, and coordination required for their journey into Capital Factory and our STATION entities are seamless, professional, and world-class.

You own the "Day 1 to Day 90" experience and the critical HR administration that follows. You serve as the primary point of contact for employee inquiries, benefits administration, and internal engagement initiatives. This role is ideal for a proactive professional who thrives on meticulous organization, administrative precision, and maintaining the data integrity necessary to support an inclusive culture where every team member feels supported and heard.

What you will do…

  • Onboarding & Offboarding Ownership: Lead the end-to-end onboarding process, ensuring every new hire at Capital Factory and STATION entities has the equipment, access, and cultural orientation needed to succeed from Day 1.
  • Benefits & Open Enrollment: Serve as the first point of contact for employee benefit questions and manage the administrative side of health insurance, 401k, and wellness programs.
  • HRIS & Data Integrity: Maintain the "source of truth" for all employee records, ensuring 100% accuracy in our HRIS (personnel files, compensation changes, and title updates).
  • Culture & Engagement Coordination: Execute internal events, recognition programs, and team-building initiatives that strengthen our culture across all locations.
  • Compliance & Policy Administration: Assist in the maintenance of the employee handbook and ensure all state-specific labor posters and compliance requirements are up to date.
  • Performance Management Support: Assist with the logistics for performance review cycles, ensuring managers and employees hit their deadlines.
  • Payroll Partnership: Work closely with Finance to ensure payroll data (new hires, terminations, and deductions) is submitted accurately and on time.
  • AI-Driven Administrative Efficiency: Implement and utilize AI tools to automate routine HR tasks such as document generation, FAQ responses for employees, and data auditing within the HRIS.

  • Onboarding Excellence: New hires consistently rate their first 30 days as a 4.5/5.0 or higher in terms of clarity, preparedness, and cultural welcome.
  • Data Integrity & Payroll Accuracy: All employee records—including benefit enrollments, terminations, and payroll updates—are verified as 100% timely and correct with zero missing documentation.
  • Operational Velocity: Administrative tasks, from offer letter generation to equipment procurement, are completed within 24 hours of a request or trigger.
  • Compliance & Legal Readiness: We maintain full compliance with federal and state labor laws, ensuring all TWC reporting and workplace postings are completed ahead of schedule.
  • Seamless Recruitment Handoff: There is a flawless transition from the TAM (Offer Stage) to your desk (Start Date), ensuring no information is dropped and the candidate experiences a continuous "white-glove" journey.
  • High-Potential Pipeline Movement: Seamless transition from offer stage to onboarding, with zero dropped information and a white-glove Day 1 experience.
  • Stakeholder Support: Hiring managers feel well-supported and are always clear on timelines and expectations for their specific hires.
  • Benefits Resolution & Participation: Employee inquiries regarding benefits are resolved within 24 hours, and open enrollment reaches 100% completion before the deadline.
  • Culture & Diversity Impact: You successfully execute quarterly culture initiatives that drive high participation and contribute to a "Dreamteam" that is increasingly diverse across POC, LGBTQ+, and women in leadership roles.
  • Bachelor’s Degree OR High School Diploma in combination with 5+ years of experience in corporate, startup, administrative, and/or Human Resources functions and systems.
  • Excellent interpersonal skills with proven ability to deliver high-quality customer service to all internal and external customers.
  • Working knowledge of legal requirements and government reporting regulations affecting Human Resources functions and compliance.
  • You are outgoing and can talk to just about anyone.
  • You are a documentor. You make lists and spreadsheets.
  • You are a problem solver. You look for ways to make things work better and how to turn chaos into systems.
  • You are organized and plan ahead, but you don’t get stressed out when things change at the last minute… because they will. You roll with it.
  • You check your email in the evenings and are available to work during evening events and over the weekends when there is a tight deadline. You do what it takes to get the job done.
  • You have a reliable laptop computer & smartphone that you are comfortable using for work.
  • You plan to stay in Texas for at least two years.
  • The annual salary for this role is $75,000
  • 4 weeks paid time off (one week is between Christmas and New Year’s)
