SUMMARY

The Order Fulfillment Specialist is accountable for overseeing and managing multiple aspects of the purchasing of equipment, materials, and products on behalf of SmartSource IT (SSIT) customers. In addition to the following responsibilities, the Purchasing Specialist is also responsible for learning company purchasing policies and procedures and maintaining order for effective company operation. This job requires the utmost professionalism, highly effective communication in written and verbal form with a strong commitment to accuracy regarding pricing and delivery to our clients

PRIMARY RESPONSIBILITIES

  • Purchase technology equipment (pcs, laptops, peripherals, software) for end users
  • Submit deployment requests to End User Support, including staging tasks for imaging and shipment to clients
  • Analyze requests for contact and address validations
  • Cross reference client SOPs to ensure active follow-ups and ticket documentation are current
  • Maintain active follow-ups and ticket documentation
  • Resolve escalation and route to appropriate workflow and promptly resolve
  • Document and prepare shipping labels for deployment team
  • Constant communication with vendors and clients to process orders
  • Coordinate with internal teams to address customer inquiries about missing equipment, pricing, logistics schedules, returns, and backordered equipment
  • Audit and upload invoices in required systems for billing
  • Follow SOPs and checklists to analyze orders for accuracy
  • Provide quotes and coordinate accurate part numbers with vendors
  • Maintain daily and weekly reports for projects, billing, and special requests

REQUIRED KNOWLEDGE/SKILLS/ABILITIES

  • Highschool diploma or GED required
  • Basic Math skills required
  • 3 years of order management, customer service, purchasing or related fields
  • Min 3 year in a customer service role
  • Min 3 years in a Purchasing role
  • High diligence
  • Excellent communication and negotiation skills with teammates and clients
  • Proficient in Microsoft Office
  • Ability to work in a demanding environment, multitask and maintain all deadlines
  • Be self-directed with time management and prioritization skills
  • Able to maintain client confidentiality and adapt to customer preferences and unforeseen issues
  • Ability to clearly and effectively communicate and coordinate with customers to ensure that expectations and commitments
  • Extremely meticulous with concise writing and grammar
  • Ability to communicate professionally to all levels of the organization aligning with our Service goals
