About the Role
Medici is seeking an experienced Executive Assistant to support a member of the executive leadership team during an exciting period of growth. This is a high-trust, high-impact role for someone with strong executive support experience, exceptional judgment, discretion, and operational excellence. The ideal candidate has previously supported a founder, C-suite leader, or senior executive, knows how to manage competing priorities in a fast-paced environment, and is comfortable using modern tools and AI to improve efficiency. This person will play a critical role in helping the executive stay organized, prepared, and focused on the company’s highest-priority initiatives.

Key Responsibilities:
- Manage and prioritize the executive’s calendar, ensuring alignment with company priorities
- Coordinate complex travel arrangements and detailed itineraries
- Prepare briefing materials for meetings, investor calls, and external engagements
- Draft and manage correspondence on behalf of the Executive
- Track follow-ups and ensure accountability across meetings and initiatives
- Serve as a professional point of contact for investors, advisors, partners, and VIP clients
- Support coordination of executive meetings, events, and stakeholder gatherings
- Assist with thoughtful relationship management, including outreach and gift coordination
- Improve systems and workflows using AI and productivity tools to increase efficiency
- Maintain strict confidentiality and discretion with sensitive information
- Provide general administrative support as needed to maintain executive momentum
Qualifications:
- 5+ years of experience supporting a senior executive
- Proven ability to manage complex schedules and shifting priorities
- Strong written and verbal communication skillsHighly organized with strong attention to detail
- Professional, polished, and comfortable interacting with senior stakeholders
- Proficiency in Google Workspace (Docs, Sheets, Slides)Experience using AI and automation tools to streamline work processes
- Bachelor’s degree preferred
