The Role
As an Executive Assistant you’ll be responsible for the day to day operations of the CEO. Your exceptional organizational skills will play a crucial role in enhancing the productivity and effectiveness of the CEO. You demonstrate remarkable precision and flexibility in executing tasks and are dedicated to ensuring the successful conclusion of every project. This position offers a dynamic work environment where no two days are the same and you thrive in this type of environment. In this role, you will:
- Provide proactive administrative support to the CEO for business-critical initiatives
- Understand and can articulate executives' priorities and objectives
- Effectively and proactively manages the priorities and objectives including booking conference rooms, coordinates schedules, resolves conflicts, and keeps the CEO on schedule
- Screen and answer emails and occasional phone calls appropriately. Greets visitors upon arrival
- Make travel arrangements for the CEO, including researching airfare, hotels, and ground transportation; according to the company policy
- Partner with the other administrative team on a variety of office projects
- Coordinate BOD meetings, site visits, and manage conference logistics
- Receives incoming communication or memos on behalf of senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff
- Work with the highest level of confidentiality and integrity
- Work closely with the COO, VP of Finance, HR Business Partner, and the Executive Business Partner
- Interpret and communicate the policies pertaining to the company
- Complete and submit expense reports and other related material
- Shepherd NDAs and ICAs and the other documents through the approval chain
- Performs additional duties as assigned by executives
- Performs other related duties as assigned
Essential Qualifications
- Excellent verbal and written communication skills
- Highly organized, efficient, and superior attention to details
- Excellent time management skills with a proven ability to meet deadlines
- Ability to function well in a high-paced and at times stressful environment
- Proficient calendar management and scheduling skills
- Excellent skills in GSuite, MS Suite, Project Management Software, Slack, DocuSign, Zoom, and ability to adopt new software fairly quickly
- Can write well-thought-out communication and documentation. Command of spelling and grammar
- Able to communicate effectively with others on the team
- Trustworthy. Has the utmost discretion with access to sensitive company and personal information
- Ability to receive phone calls to discuss business initiatives on occasional late nights or over the weekend
- Occasional travel required with notice
Education and Experience
- High school diploma required; Bachelor's degree in Business Administration or a degree in the STEM field preferred
- Minimum of 5 years’ experience in supporting a CEO or an Executive team
