Commercial Operations Associate (Contract)

Introduction: We seek a commercial operations associate in Austin, Texas. This role serves as a force multiplier for the CEO, focusing on the operational execution of our sales and partnership cycles.
The ideal candidate will have a background in agency account management or client services, bringing the ability to manage complex, custom scopes of work in a fast-paced environment.
Instead of cold calling, you will focus on "middle-of-the-funnel" execution: Drafting scopes, managing the CRM, and navigating partner logistics to ensure deals close efficiently.
Key Responsibilities
Deal Operations & Scoping (40%)
- Manage the creation of quotes, scopes of work, and sales orders using internal templates.
- Review floor plans and technical requirements to generate accurate pricing and coverage estimates for clients.
- Complete Vendor Risk Assessment reviews, security questionnaires, and vendor registration forms to ensure seamless deployment without CEO intervention.
- Ensure all deal stages, values, and contact details are accurately maintained in CRM (Pipedrive) to support reliable forecasting.
Executive Support & Documentation (30%)
- Attend high-level meetings with the CEO to document action items, technical constraints, and next steps.
- Draft follow-up correspondence and client communications for leadership review to ensure a timely and professional response.
Partner Operations (20%)
- Manage the schedule and logistics for recurring partner activities that drive business, such as setting up joint webinars and drafting partner newsletters.
- Ensure these recurring touchpoints happen on time, every time, so Zenus AI remains top-of-mind with our channel partners.
Process Improvement (10%):
- Identify bottlenecks in the sales administration process and draft Standard Operating Procedures (SOPs) to increase team velocity.
Required Qualifications
- 2–4 years of experience in agency or project roles (e.g., account coordinator, project coordinator, or junior account manager).
- Demonstrated ability to manage "custom" projects where every scope requires attention to detail.
- Proficiency with CRM tools (pipedrive preferred), Google Workspace, and Slack.
- Strong written communication skills with the ability to draft professional emails on behalf of leadership.
- Ability to work out of our Austin, TX location for shadowing and training.

Contract Details
- Structure: Up to 40 hours/week. Monthly invoicing.
- Compensation: $30 - $40 per hour (based on experience).
- Conversion: A performance review will be conducted at the 90-day mark to discuss conversion to a full-time employee with benefits and equity participation.
